Enabling email for a user account

Please note that you must create a user account first and then enable the email mailbox for it.

So, once you create a user account, here are the steps you need to follow:

  1. Go to Admin -> Manage users and choose to add a new user or click on a username if you are enabling email for existing user.
  2. You then need to select the Enable POP Email option and depending on if the user will have Admin access or simply email account only, you need to enable or disable Allow Access to Admin
  3. Select Save to finish

Configuring your domain for email

Configuring the system to handle your company's email is an extremely quick and painless process. Please note that trial sites cannot use email. Follow these simple steps to get started:

  • Go to Admin -> Manage Domain Names.
  • If you have added a domain name to the site already, click on it. If you haven't added a domain name to the site then click Add a New Domain Name from the action box and enter the domain name into Your Domain, e.g. yourcompany.com box
  • Choose to host your domain on our DNS servers by selecting I will re-delegate my domain and use this service for DNS. (You must do this. You can not create an external MX record and pint it to us)
  • Choose to use us for your email by selecting I will use this service for email (must use this service for DNS)

Please remember that DNS redelegation needs to be done before you can send/receive email using our service.

Configuring your email client

Now you need to configure your email client to send and receive email.

  • Go to your favorite email program such as Outlook and create a new email address
  • Enter your email address. Use your Admin login details for your username and password. NOTE: Your username is your full email address.
  • Your SMTP and POP/IMAP hosts/servers are: mail.yourdomain.com (replace yourdomain.com with your company's web address)
  • In the 'Outgoing Server' option select 'My outgoing server (SMTP) requires authentication' and choose to use the same settings as your incoming server' You are done! Enjoy your new email service. You can also use the webmail option from inside the system and access your email from anywhere in the world.

What limits apply to my use of email?

  • The number of email accounts depends on the site plan. Please note that the number of emails is different from the number of Admin users. For example, you can have a plan with a single user and multiple email addresses.
  • You can setup an unlimited number of aliases per email account, e.g. sales@yourcompany.com, info@yourcompany.com
  • Each mailbox size is limited to 100MB
  • Total attachment size per email is 100MB

Email aliases

To add email aliases to your email account(info@yourdomain.com, sales@yourdomain.com), you simply need to enter them into Email Aliases field. An email alias can only belong to email account. You can have unlimited number of email aliases.

When you are entering multiple email aliases, you need to separate these by semicolon (;).

Refreshing a user's Mailbox

From time to time, you may wish to refresh a user's Mailbox. This can be useful to 'start afresh', or alternatively if there is a corruption within the mailbox for some reason.

Additionally, in order to increase the mailbox size to the full system limit (in case it was created prior to an increase), it will need to be refreshed.

To do so, please ensure you have downloaded everything out of your mailbox (as it will all be deleted during this refresh), select the users mailbox you wish to refresh (Admin > Manage Users) and follow these steps....

  1. Uncheck the POP Mail option in the User details
  2. Save the User
  3. Check the POP Mail option to create a new mailbox
  4. Save the User

The mailbox will be refreshed and now have the new limit applied.
